How we collect, use and protect your personal information. Last updated 10 October 2026.
1. Who we are
This website is run by Next Line AI Limited, a company registered in England and Wales (company number 16936611), whose registered office is at Meadow Brae, Stunts Green, Herstmonceux, Hailsham, BN27 4PN (“NextLine”, “we”, “us”). We provide marketing, AI follow-up and sales support to estate and letting agents in the UK.
For the personal information described in this policy, we are the data controller. You can contact us about anything in this policy at:
- Email: info@nextlineai.co
- Phone: 01323 692300
- Post: Next Line AI Limited, Meadow Brae, Stunts Green, Herstmonceux, Hailsham, BN27 4PN
2. What information we collect
When you contact us or book a call, we collect the details you give us: your name, agency name, the town or postcode you cover, your email address, your phone number and anything you write in your message.
When you use our “Build your package” form, the goals and services you tick are used to show you a recommendation on the page. If you then choose to contact us, your recommended package and choices are added to your message so we know what you’re interested in. If you don’t contact us, we don’t receive or store your choices.
When you become a client, we also keep the business and contact details we need to provide our services, send invoices and manage our relationship with you.
We don’t ask for, and don’t want, any sensitive information (such as health, religion or financial account details) through this website.
3. How we use your information, and why we’re allowed to
- To reply to your enquiry and arrange a call. We do this because you’ve asked us to, and to take steps before entering into a contract with you.
- To provide our services if you become a client. This is necessary to perform our contract with you.
- To keep business, tax and accounting records. We do this to meet our legal obligations.
- To follow up on an enquiry and, occasionally, tell you about relevant services. We do this in our legitimate interests as a business that works with estate and letting agents. You can ask us to stop at any time, and every marketing email includes a way to unsubscribe.
4. Cookies and tracking
This website does not currently use analytics, advertising or tracking cookies, and it doesn’t load fonts or scripts from third-party trackers. If that changes, we’ll update this policy and ask for your consent where the law requires it.
5. Who we share your information with
We never sell your personal information. We only share it with trusted service providers who help us run our business, under contracts that require them to keep it secure and use it only on our instructions. These include:
- our CRM and booking system (GoHighLevel), which stores enquiries and appointments
- our email, phone and messaging providers
- our website hosting provider
- our accountants and professional advisers, where needed
We may also share information if the law requires it, for example with HMRC or the police.
6. International transfers
Some of our service providers, including our CRM provider, may store or process data outside the UK, for example in the United States. Where that happens, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or a UK “adequacy” decision.
7. How long we keep it
- Enquiries that don’t become clients: up to 24 months after we last spoke, then deleted.
- Client records: for as long as you’re a client, then for 6 years after our contract ends, to meet tax and legal requirements.
8. Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that’s wrong or incomplete
- ask us to delete your information
- object to, or ask us to restrict, how we use it
- ask us to move it to another organisation
- object to marketing at any time
To use any of these rights, email info@nextlineai.co. We’ll respond within one month. There’s no charge in most cases.
9. Leads we handle for our clients
When we run campaigns for an estate or letting agency, the people who enquire through those campaigns are that agency’s leads. In that case the agency is the data controller and we act as its data processor, handling the information only on the agency’s instructions and under a written agreement. If you enquired through one of our clients’ adverts and have a question about your data, please contact that agency first. We’ll help them respond.
10. Keeping your information safe
We use appropriate technical and organisational measures to protect your information, including access controls, secure systems and limiting access to people who need it.
11. Complaints
If you’re unhappy with how we’ve handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
